How FocusRoom AI collects, uses, protects, and deletes information.

1. Who we are
FocusRoom AI provides online study rooms with live video, audio, chat, moderation, and productivity features. This policy explains how we handle personal information when you use focusroom.cloud.

2. Information we collect
- Account information, including your name, email address, password hash, account role, and account creation date.
- Room information, including rooms you create or join, memberships, room roles, private-room settings, and temporary room bans.
- Content you submit, including chat messages, participant reports, report details, and moderation status.
- Temporary technical information used for security and rate limiting, such as IP address and request timing.
- Essential session-cookie information used to keep you signed in securely.
3. Camera, microphone, and screen sharing
Camera, microphone, and screen-sharing access begins only after you take an action and grant browser permission.
Live media is transmitted between participants using WebRTC. When a direct connection is unavailable, encrypted media packets may pass through our TURN relay server. FocusRoom does not intentionally record or store live camera, microphone, or screen-sharing streams.
Other participants may use external tools or devices to capture a session. Do not share sensitive information during a live room.
4. How we use information
- Create and secure user accounts and sessions.
- Provide rooms, chat, live sessions, screen sharing, and productivity features.
- Enforce room capacity, private-room access, moderation, reporting, removal, and temporary-ban controls.
- Prevent abuse, spam, unauthorized access, and excessive requests.
- Maintain, troubleshoot, back up, and improve service reliability.
- Comply with applicable legal obligations and respond to valid legal requests.
5. Legal bases
Depending on your location and applicable law, we process information to perform our agreement with you, protect legitimate interests such as service security and abuse prevention, comply with legal obligations, and rely on consent where required.
You may withdraw browser permission for camera or microphone access at any time through your browser or device settings.
6. Cookies
FocusRoom currently uses an essential HTTP-only session cookie to authenticate users. It is required for signed-in features and expires automatically.
We do not currently use advertising cookies or third-party behavioral analytics cookies. If this changes, this policy and any required consent controls will be updated.
7. Sharing and service providers
We do not sell personal information.
Information may be processed by infrastructure providers that host the application, database, backups, domain, networking, and security services. We may also disclose information when required by law, to protect users, or to investigate abuse.
8. International processing
FocusRoom is available globally. Information may be processed in countries other than your own where our infrastructure providers operate. We use reasonable technical and organizational measures appropriate to the service and applicable law.
9. Data retention and deletion
Account and service data is generally retained while your account or related rooms remain active, unless a longer period is required for security, dispute resolution, or legal compliance.
You can permanently delete your account from Settings. This deletes your account and associated memberships, messages, reports, moderation records, and rooms you own according to the application database relationships.
Deleted information may remain temporarily in protected backups until normal backup rotation or infrastructure-provider retention periods expire.
10. Your privacy rights
- Request access to personal information associated with your account.
- Request correction of inaccurate or incomplete information.
- Request deletion or restriction where applicable.
- Object to certain processing or withdraw consent where applicable.
- Request information about processing and recipients.
- Request a portable copy where applicable.
- Submit a complaint to an appropriate data-protection authority.
11. Children
FocusRoom is not directed to children under 13 and does not knowingly permit them to create accounts.
Users must be at least 16 years old. Where local law requires parental or guardian permission for a user under the age of legal majority, that permission must be obtained before using the service.
If you believe a child has provided personal information contrary to this policy, contact us so we can investigate and remove it where appropriate.
12. Security
We use measures including password hashing, HTTP-only session cookies, HTTPS, access controls, rate limiting, database backups, moderation controls, and encrypted WebRTC transport.
No internet service can guarantee absolute security. Use a unique password and protect access to your email account and devices.
13. Policy changes
We may update this policy as FocusRoom changes or legal requirements evolve. Material changes will be identified by an updated date and, where appropriate, an in-service notice.
